GDPR Privacy Statement for Distance Learning Courses Limited

Introduction

This privacy notice is issued by Distance Learning Centre (DLC) to inform you how we will use your personal information. For the purposes of the new General Data Protection Regulation (GDPR), Distance Learning Centre is the data controller for personal information processed by us during your course enrolment process and subsequent support.

What personal learner information does DLC collect?

Distance Learning Centre collects and processes personal information for the purpose of registering and supporting its students, providing an after-care service, and meeting its statutory responsibilities. This information is usually submitted to Distance Learning Centre through its secure website or online portal, and only pre-approved users have access to the online portal via a secure login provided by DLC. The personal information collected that can be used to identify you includes, but is not limited to, name, address, date of birth, gender, ethnicity, disability, and achievement and assessment data. Whilst we endeavour to collect only that data for which there is a legal or reasonable business requirement and to ensure the integrity of the data, we strongly encourage students to contact us if they believe any data to be incorrect.

Children's Privacy

Distance Learning Centre does not knowingly register or collect personal information from anyone under the age of thirteen. If you, or a parent or guardian, has cause to believe that a child under the age of thirteen has provided us with personal information, please contact us immediately, and we will ensure your approval is sought for the collection of such data before we process it.

Who do we share data with?

Distance Learning Centre, as part of its legitimate business functions, shares this data with our business partners and awarding body. Depending on the circumstances, these organisations may include:

Awarding Bodies; and

External contractors and business partners on a "need to know" basis, where we share individual personal details due to a legitimate business reason, such as enrolment on or supporting a course.

Where do we store personal data?

All personal information provided to us is stored on our secure servers located in the UK, or on the secure servers of sub-contractors that we have engaged to provide services on our behalf. The security of personal information is vitally important to us. However, no method of transmission over the internet or method of electronic storage is 100% secure. While we endeavor to use commercially acceptable means to protect personal information, we cannot guarantee its absolute security.

Access to your information and correction

Distance Learning Centre strives to meet the highest standards when collecting and using personal information and, for this reason, we take any complaints about this very seriously. We encourage students to bring it to our attention if they think that our collection or use of information is incorrect, unfair, misleading, or inappropriate. You have the right to request a copy of the personal information that we hold about you and, if we receive such a request, we will:

  • give you a description of the data we hold;
  • tell you why we are holding it;
  • tell you who it could be disclosed to; and
